Main duties and responsibilities

  • Be the first point of contact for the HR department to assist employees or direct their queries to the relevant person
  • Prepare the companies weekly and monthly payroll for the wages clerk
  • Produce accurate and timely documentation for the employee life cycle (e.g. contracts, new starters documentation, amendments to terms, leaver letters etc.)
  • Ensure all personnel files are set up legally and kept up to date
  • Maintain employee records, ensuring they are complete, accurate and confidential
  • Assist the HR team with employee relations administration for absence reporting and return to work documentation, disciplinary, performance management, note taking etc.
  • Provide cohesive link between payroll and HR for employee sickness data.
  • Maintain accurate and up to date employee records to ensure audit trail for completeness
  • Support the recruitment process by publishing adverts, coordinating applications and responding to candidate as appropriate.
  • Assist with payroll management by producing relevant employee information on time and attendance data and anomalies (e.g. absence, holiday etc.)
  • Provide administrative support for the wider HR team

Person Specification

  • Previous payroll experience is essential
  • Previous administrative experience is essential, (HR experience is an advantage)
  • Positive approach in dealing with internal customer requests
  • Experienced in Microsoft Office (word/excel/outlook-training will be given on specialist systems)
  • Confident working on their own and as part of a team
  • Excellent level of English communications skills, in person, by telephone and in email
  • Strong interpersonal skills and able to deal with all levels of the business
  • Ability to work to tight deadlines and handle confidential information, exercising discretion
  • Exceptional time management &organisational skills, with the ability to manage multiple tasks and adaptable to changing demands within the business
  • Ability to translate Eastern European language is an advantage
